Terms & Conditions

Please read these Terms & Conditions carefully before booking any services with Worlds Converge. By making a booking, you agree to be bound by the terms outlined below.

Worlds Converge LLC is a registered Seller of Travel in the State of California and participates in the Travel Consumer Restitution Corporation (TCRC), registration number #2171074

These Terms & Conditions are governed by the laws of the State of California.

1. Definitions

“Worlds Converge,” “we,” “us,” or “our” refers to Worlds Converge. “Traveler,” “you,” or “client” refers to any individual or group booking services with Worlds Converge.

2. Scope of Services

Worlds Converge provides:

  • Destination Management Company (DMC) services

  • Group immersive travel experiences

  • Independent and custom travel planning

All services are land-based unless otherwise specified. International and domestic airfare is not included unless explicitly stated.

Some services may be operated in partnership with third-party providers.

3. Booking & Payment

A booking is confirmed once:

  • A deposit is received, and

  • Written confirmation is issued by Worlds Converge

Final payment is due no later than 90 days prior to the trip start date unless otherwise specified.

For bookings made within 60 days of departure, full payment may be required at the time of booking.

Worlds Converge reserves the right to cancel any booking that is not paid in full according to the stated terms.

4. Pricing

All pricing is quoted in USD unless otherwise noted. Prices are subject to change due to currency fluctuations, supplier costs, or unforeseen circumstances until full payment is received.

5. Cancellation Policy

All cancellations must be submitted in writing.

Cancellation penalties are as follows (per person):

  • 61+ days before departure: Loss of deposit

  • 46–60 days before departure: Loss of deposit + 50% of total trip cost

  • 45 days or less: 100% of trip cost

No refunds will be issued for:

  • Unused portions of a trip

  • Voluntary early departure

  • Missed activities, accommodations, or services

Worlds Converge strongly recommends purchasing travel insurance.

6. Changes to Bookings

Requests for changes must be made in writing.

Changes may incur additional costs depending on availability and supplier policies. Worlds Converge cannot guarantee that requested changes can be accommodated.

Changes requested within 60 days of departure may be treated as cancellations.

7. Travel Insurance

Travel insurance is strongly recommended and should include:

  • Trip cancellation and interruption

  • Medical coverage

  • Emergency evacuation

  • Loss or delay of personal belongings

Worlds Converge is not responsible for any costs incurred due to lack of insurance.

8. Health, Safety & Responsibility

Travelers are responsible for:

  • Ensuring they are physically and mentally fit for travel

  • Complying with all local laws and customs

  • Following guidance from local guides and staff

Worlds Converge reserves the right to remove any participant whose behavior jeopardizes the safety or experience of others.

By participating in a Worlds Converge, you acknowledge that travel involves inherent risks, including but not limited to illness, injury, accidents, political instability, and unpredictable conditions. You voluntarily assume all such risks associated with participation.

Worlds Converge is not responsible for medical care, costs, or emergency response during travel. Travelers are responsible for securing appropriate medical and evacuation insurance.

9. Travel Documents

Travelers are responsible for obtaining:

  • Valid passports (minimum 6 months validity)

  • Visas, if required

  • Vaccinations or health documentation

Worlds Converge is not liable for denied entry or travel disruptions due to incomplete documentation.

10. Liability

Worlds Converge acts as an intermediary between travelers and third-party providers (hotels, guides, transport, etc.).

We are not liable for:

  • Acts or omissions of third-party providers

  • Delays, cancellations, or disruptions beyond our control

  • Loss, damage, or injury during travel

11. Force Majeure

Worlds Converge is not responsible for delays, changes, or cancellations due to events beyond our control, including but not limited to:

  • Natural disasters

  • Political unrest

  • Pandemics

  • Transportation disruptions

Refunds, if any, are limited strictly to amounts recovered from third-party suppliers, less any unrecoverable costs.

12. Itinerary Changes

Worlds Converge reserves the right to modify itineraries due to circumstances beyond our control or in the interest of traveler safety and experience.

13. Baggage & Personal Belongings

Travelers are responsible for their personal belongings at all times. Worlds Converge is not liable for lost, stolen, or damaged items.

14. Photography & Media

Worlds Converge may use photos or videos taken during trips for marketing purposes.

If you prefer not to be included, you must notify us in writing prior to travel.

15. Intellectual Property

All itineraries, travel designs, and materials created by Worlds Converge remain its intellectual property and may not be reproduced without written consent.

16. Complaints & Claims

Any concerns must be raised during the trip to allow for resolution.

Formal complaints must be submitted in writing within 30 days of trip completion.

17. Amendments

Worlds Converge reserves the right to update these Terms & Conditions at any time. Updated terms will be posted on our website.

18. Acceptance of Terms

By booking with Worlds Converge, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
